How Do I Translate Private-Sector Experience into a Government Job Application?

See how a retail roster, a project register and a careful referral become useful evidence without becoming a different job.

Start with the evidence

A vacancy asking for coordination needs to see how you coordinated. “Managed staff” hides the action. Replacing it with “delivered government service reform” adds a claim. The useful work is in between: explain the actual decision, action and result.

DSS application tips ask for examples demonstrating your abilities and suitability, including your role, actions and results. The APSC’s Cracking the code recognises varied backgrounds, experiences and qualifications. Use that invitation to examine your evidence against the particular vacancy.

Keep the title, employer, dates and scope. Customers stay customers; company procedures stay company procedures. A private-sector title, salary or team size does not establish an APS level equivalence.

See the translation, clause by clause

All three cases are fictional teaching examples. Employers, dates, events and results are invented for the lesson. Requirements are illustrative. Use your own genuine facts and the actual vacancy requirements in an application.

Use the same event in each document

A pitch develops the relevant decision. A criteria response answers the particular requirement. A resume compresses the event under your real role and dates. Each version should expand naturally in an interview: what you knew, what you did, who authorised it and what happened.

Change the emphasis for the document. Keep the same event and decision owner.

Retail supervision → coordination · pitch

Develop this evidence: Choose the roster decision as a developed example: why coverage was at risk, what options you considered, who approved overtime and what the team delivered.

Still true: Retail supervisor, Harbour Retail (March 2023–February 2025); commercial store; customers; manager approved overtime; team filled all rostered shifts during a four-week promotion.

Separate evidence needed: This supports coordination. Public-policy advice or legislative interpretation needs separate evidence; title and team size do not establish an APS level.

Editorial guidance, not a competency score. Nothing is uploaded or saved.

For layout and presentation, use the government resume guide. Keep a private evidence record of the event, your contribution, the decision owner and the basis for the outcome before shortening it for any document.

Check every claim

Put the original notes beside the rewrite and underline each factual claim. Ask three questions:

  1. Can I point to the original fact? Keep the real title, setting, dates and scale. Remove invented numbers or outcomes.
  2. Who owned the decision? Separate your recommendation or action from someone else’s approval and the team’s result.
  3. What does this leave unproven? Check the whole vacancy, including technical, eligibility and mandatory requirements.

When no reliable number exists, use a truthful qualitative outcome and its basis. A precise, limited result is more useful than an unsupported claim of transformation.

Capability gaps these examples leave open
  • Retail supervisor: This supports coordination. Public-policy advice or legislative interpretation needs separate evidence; title and team size do not establish an APS level.
  • Project coordinator: This shows project coordination, not government procurement, ministerial briefing or delegated project authority. Those need separate evidence.
  • Customer service officer: Provide separate evidence for statutory interpretation or delegated decisions. Keep customer records and confidential details out of the example.

Frequently asked questions

Should I copy the language from the role description?

Use relevant capability terms where they accurately describe your work, then show the example. Do not insert terms such as policy development, procurement or ministerial advice if you did not do that work. This article makes no claim that a particular keyword guarantees automated screening success.

What if my best example is from a small business?

Explain its actual scope. A small, well-evidenced decision can demonstrate a relevant skill, but do not inflate its complexity to match a classification. Assess the whole vacancy, including any technical or mandatory requirements.

How do I describe a gap without undermining the application?

Be specific: distinguish what you can already demonstrate from what you would need to learn. A learning intention is not evidence of existing capability. If a requirement is mandatory or ambiguous, check the instructions or ask the contact officer rather than assuming it can be waived.
