How Do I Write a Two-Page Statement of Suitability for a Queensland Government Job?

Choose the evidence that earns its space, then show exactly how it answers the role.

Read the actual instructions

If your vacancy asks for a two-page statement of suitability, select evidence that answers that role within the requested space. Queensland government jobs do not all use the same document type, questions or page limit.

  • Find the task: required documents, exact questions, length and submission format.
  • Check the essentials: mandatory qualifications, eligibility and any specified formatting.
Why the vacancy instructions come first

The departmental applicant guide, page 8, points to the role description for application requirements and to the contact person for questions. Page 13 asks applicants to follow the how-to-apply instructions, using a two-page request as a conditional example.

This is guidance to follow your vacancy, not a universal Queensland two-page requirement or a named current vacancy endorsement. If the advertisement, role description and form conflict, ask the recruitment contact. A suitability statement is not automatically a cover letter or a separate response to every criterion.

Give the evidence most of the space

A short opening orients the reader. Developed examples do the work. A brief close explains their relevance to the role. Change the emphasis when the actual questions require a different structure.

One fictional case throughout: Riverbend Learning, the role-description excerpt, dates, records and results are invented teaching material, not a real or successful application.

Evidence, then relevance

Evidence 03 · verify or replace

Adapt communication

Different messages for participants and facilitators. Uncertain eligibility wording checked with the coordinator.

Outcome to verifyNo verified reduction in enquiries.

Planning note: check for an observable outcome or use stronger evidence before submission.

Relevance · a short close

Connect the evidence to the role

Organising routine work, checking accuracy and keeping decision owners informed.

Experience to build: agency systems, records procedures and program requirements.

Space follows the requirements.

This illustration gives examples the most room. A different role or question may need a different balance.

Read the short relevance paragraph

For a program support role requiring coordination, accurate administration and clear communication, these examples show how I organise work, identify uncertainty and keep decision owners informed. My experience is in a learning business, not a Queensland government agency. I would need to learn the agency’s systems, records procedures and program requirements.

The connection is brief and names experience still to build. It cannot substitute for mandatory qualifications or specialist evidence.

Connect requirements to evidence

Read the fictional role excerpt, then follow each number to the exact sentence that answers it. Repeating a requirement as a claim is weaker than showing how you did the work.

From role description to evidence sentence

  1. 01

    Coordination

“Coordinate workshop enquiries and competing priorities.”

    Evidence 01
I created a register showing the enquiry, due date, next action and decision owner.

A specific tool and personal action answer the coordination requirement.

  2. 02

    Accurate records

“Maintain accurate attendance records and raise discrepancies.”

    Evidence 02
I compared the working list with the source attendance sheets and recorded each discrepancy for the coordinator to review.

The sentence shows how the applicant checked accuracy and raised uncertainty.

  3. 03

    Clear communication

“Adapt information for participants and facilitators.”

Evidence 03 · Outcome to verify
I drafted separate messages for these audiences rather than forwarding the internal register.

The action is clear. Its effect on enquiries is still unverified.

In example 01, the personal action earns the most room. The margin notes show why each passage earns its place.

  1. As a program support officer at the fictional Riverbend Learning from February to November 2025, I supported workshop scheduling, participant enquiries and attendance records. When enquiries for six workshops overlapped, I needed to keep routine arrangements moving without making eligibility decisions that belonged to the program coordinator.
    ContextKeep it short

Enough background to understand the problem. No career history is needed here.

  2. I created a register showing the enquiry, due date, next action and decision owner. I checked it each morning and grouped routine questions for response, while referring eligibility questions to the coordinator with the relevant facts. When two requests needed the same facilitator, I set out the scheduling conflict and sought a priority decision rather than promising both dates. I then updated the agreed schedule and advised the affected participants.
    Personal actionGive this room

The tool, the daily follow-through and the escalation show how the work was done.

  3. The six workshop schedules were issued by the agreed dates.
    Supported resultKeep the observable outcome

A concrete result. It does not claim attendance growth or participant satisfaction.

  4. The coordinator made the eligibility and priority decisions; I maintained the information, identified conflicts and followed through on the communications.
    Authority boundaryKeep the contribution precise

Coordination is demonstrated without claiming the coordinator’s decision-making authority.

02 · Accurate records

A supported result can be qualitative

The coordinator accepted the reconciled attendance list.

That result follows the source checks and approved corrections. It needs no invented error-reduction percentage and does not imply experience with a government records platform.

Read the complete records example

While preparing the attendance list, I noticed duplicate entries that could make the workshop record unreliable. I compared the working list with the source attendance sheets and recorded each discrepancy for the coordinator to review. I did not delete uncertain entries or assume that similar names referred to the same person. I separated confirmed duplicates from cases needing clarification, asked the coordinator to approve corrections and retained a record of the agreed changes in the organisation’s system. The coordinator accepted the reconciled attendance list. This demonstrates my attention to source information and my willingness to raise uncertainty instead of concealing it. It does not establish experience with a Queensland government records platform, which I would need to learn if appointed.

03 · Clear communication · Outcome to verify

An action is not proof of its effect

The applicant drafted different messages for participants and facilitators. The honest boundary is:

I can explain the drafting and checking process, but I do not have a verified measure of whether the revised messages reduced enquiries.

Before submission: check the records for an observable outcome or choose a stronger genuine communication example. Keep this as a planning gap until then.

Read the communication example with its gap

In the same role, participants needed clear joining instructions while facilitators needed scheduling changes and outstanding decisions. I drafted separate messages for these audiences rather than forwarding the internal register. For participants, I used a short sequence covering the location, start time, what to bring and where to ask questions. For facilitators, I summarised changes and actions requiring confirmation. I checked uncertain eligibility wording with the coordinator before sending it. I can explain the drafting and checking process, but I do not have a verified measure of whether the revised messages reduced enquiries. Before using this example in a real application, I would check the available records for an observable outcome or choose another communication example with stronger evidence.

Can one example cover several requirements?

Yes, when distinct actions support each connection. The coordination example also shows communication through advising participants. It does not establish policy analysis, statutory decision making or every requirement in a real vacancy. Keep unanswered requirements visible rather than repeating the story.

Decide what deserves space

When the draft is too long, make each sentence earn its place against the role description.

  1. Keep the proof. Protect the relevant personal action, supported result and explanation of your contribution.
  2. Compress the setup. Cut repeated background, generic praise and a second telling of the same example. Give context once.
  3. Check or replace weak evidence. A plausible outcome is not a verified one. A short, relevant example with support is more useful than a long claim.

Then check the actual file

There is no reliable universal word-to-page conversion. Fonts, spacing, margins, headings and software affect the result. Follow any supplied template; preserve readability when editing.

  1. Remove teaching notes, placeholders and claims you cannot substantiate. Check each actual question and mandatory requirement.
  2. Export to the requested format. Open the saved file and inspect the actual page count, page breaks and complete text.
  3. Confirm the uploaded file is that checked version. Review any portal preview before submitting.

Frequently asked questions

Do I need a separate heading for every accountability?

Use the structure requested. Where a holistic statement is permitted, a few developed examples with clear relevance can be easier to follow than many tiny claims. If specific questions are asked, answer them directly and retain their distinctions.

Can I claim the program outcome as my result?

Explain your contribution and the broader result separately. In Riverbend, the coordinator approves decisions and the support officer maintains the register. Keep those roles precise when editing.

What if a gap concerns a mandatory requirement?

Check the actual requirement and ask the contact officer if its application is unclear. Transferable skills do not automatically satisfy a required qualification. For other gaps, choose stronger genuine evidence or describe the boundary of your experience honestly.
